Terms of Service

1. Acceptance of Terms

By accessing or using Pinboard ("the Service"), operated at pinboard.ai by PINBOARD LLC, a New York limited liability company ("Pinboard," "we," or "us"), you agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use the Service.

If you use the Service on behalf of an organization, you must have authority to bind it to these terms. Our Privacy Policy explains how personal information is handled.

2. Description of Service

Pinboard is an AI-powered project management platform that helps workspaces collaborate, manage tasks, track time, and streamline workflows. The Service includes web-based tools for project planning, task management, workspace collaboration, knowledge base management, and AI-assisted features, together with our desktop and mobile apps, recording features, APIs, and integrations.

3. Account Registration

To use Pinboard, you must create an account with a valid email address. You are responsible for:

  • Maintaining the confidentiality of your account credentials
  • All activities that occur under your account
  • Providing accurate and up-to-date information
  • Notifying us immediately of any unauthorized use of your account

4. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable laws
  • Upload or transmit viruses, malware, or other harmful code
  • Attempt to gain unauthorized access to the Service or its related systems
  • Interfere with or disrupt the integrity or performance of the Service
  • Use the Service to send unsolicited communications (spam)
  • Reproduce, duplicate, or resell any part of the Service without express written permission
  • Upload content that infringes intellectual property or privacy rights, or use the Service to harass, exploit, or impersonate others
  • Record, transcribe, or upload conversations without the notices, permissions, and consent required by applicable law

5. Your Content

You retain ownership of all content you create, upload, or store on Pinboard ("Your Content"). By using the Service, you grant us a limited license to store, process, and display Your Content solely for the purpose of providing the Service to you.

You are responsible for ensuring that Your Content does not violate any applicable laws or infringe on the rights of any third party.

You control the content you share and the integrations you authorize. Sharing links, publishing content, inviting collaborators, or enabling an integration can give others access to that content. Workspace and project administrators manage access within their permissions.

6. Intellectual Property

The Service, including its design, code, features, and branding, is protected by intellectual property laws. Rights in the Service belong to their respective owners, including PINBOARD LLC, its founder, and third-party licensors, as applicable. You may not copy, modify, or create derivative works of the Service without our prior written consent.

7. Subscriptions and Billing

Some features of Pinboard require a paid subscription. By subscribing:

  • You authorize us to charge your payment method on a recurring basis
  • Subscription fees are billed in advance on a monthly or annual basis
  • You may cancel your subscription at any time; access continues through the end of the current billing period
  • For billing errors or refund requests, contact support@pinboard.ai. Any refund terms disclosed with your purchase and mandatory rights under applicable law apply.

8. AI Features

Pinboard includes AI-powered features that process your data to provide intelligent suggestions and insights. By using these features, you acknowledge that:

  • AI-generated content is provided as suggestions and should be reviewed before use
  • Third-party AI providers process relevant content for AI features. Certain content is also processed automatically to build search indexes when it is saved, as described in our Privacy Policy
  • We do not use your content to train AI models
  • AI output can be inaccurate or incomplete. Review output and actions before relying on them, particularly where they affect other people or important decisions

The statement about training describes Pinboard's own use of your content. It is not a guarantee of zero retention by every third-party provider. See our Privacy Policy for provider processing details.

9. Service Availability

We strive to maintain high availability of the Service but do not guarantee uninterrupted access. We may temporarily suspend the Service for maintenance, updates, or security purposes. We will make reasonable efforts to notify you of planned downtime.

9a. Beta and Early Access

Features identified as alpha, beta, preview, or early access are still being developed. They may contain errors, become unavailable, change, or be discontinued. They may cause loss or corruption of content and are not suitable as your sole system for business-critical records or activities where failure could cause injury or serious harm. Keep independent copies of important records and review results before use.

To the maximum extent permitted by applicable law, these features are provided “as is” and “as available,” without warranties of merchantability, fitness for a particular purpose, or non-infringement. Unless expressly agreed in writing, beta features carry no service-level or uninterrupted-availability commitment.

Use synthetic or de-identified information for testing where possible. Do not place health records, government identification numbers, full payment-card or bank-account details, or other information requiring special regulatory safeguards in beta content unless we have expressly agreed in writing to support that use with the necessary protections. This restriction does not prevent you from providing account or billing information through the designated sign-in and payment flows.

Beta status does not remove our obligations under applicable privacy and data-security law or our Privacy Policy. Nothing in this section authorizes undisclosed use of your content, waives mandatory rights, or excuses conduct for which liability cannot legally be limited.

10. Limitation of Liability

To the maximum extent permitted by law, Pinboard and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.

Our total liability for any claims arising from the Service shall not exceed the amount you paid us in the twelve (12) months preceding the claim.

These limitations apply only to the extent permitted by applicable law. Nothing in these terms excludes liability or consumer rights that cannot legally be excluded or limited.

11. Indemnification

You agree to indemnify and hold harmless Pinboard from any claims, damages, or expenses arising from your use of the Service, your violation of these Terms, or your violation of any rights of a third party.

12. Termination

We may suspend or terminate your access to the Service at any time if you violate these Terms or for any other reason at our discretion. Upon termination:

  • Your right to use the Service ceases immediately
  • We may delete your data after a reasonable retention period
  • You may request an export of your data before termination takes effect

13. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of New York, United States, without regard to its conflict of law provisions. This choice does not deprive you of mandatory protections that apply under the law of your place of residence.

14. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes by posting the updated terms on this page and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the new terms.
